Trust starts with clear information. This policy explains how ADXSOFT processes personal data relating to visits to adxsoft.com, contact requests and quote requests. It also covers the documents and information you send us to describe your project.
1. Who processes your data?
ADXSOFT is responsible for processing the information received in connection with these requests. For a question about your data or to exercise your rights, email privacy@adxsoft.com. You can also use our contact form. Information about the website publisher appears in our Legal notice.
2. What information is collected?
Your contact details. Depending on the form: last name, first name, email address, telephone number, company and, if you provide it, WhatsApp number. Required fields are identified in each form; other information is optional.
Your request. The subject and content of your message, the service you need, a description of your requirements, an indicative budget and its currency, a preferred date and any document attached to a quote request. We also retain the request reference, its submission date, its follow-up status and the agreement expressed when you submit it.
Technical data needed to operate the website. The infrastructure serving the website may process IP addresses, browser information and connection data needed to deliver pages and maintain security. Protection against abusive submissions also uses a technical fingerprint derived from the connection address; this is not advertising tracking.
Send only information relevant to your request. Do not send passwords, complete bank details or sensitive data unless necessary. If a document concerns other people, make sure you are authorised to share it and remove unnecessary information before sending it.
3. Why do we use this information?
We use it to understand your needs, respond to your message, prepare a proposal, discuss your project and follow up on your request. Technical data helps keep the website working, limit abuse and address security incidents.
Responding to a quote request may involve taking steps at your request before entering into a contract. Depending on the context, processing other correspondence and protecting the website rely on our legitimate interest in responding to visitors and keeping the service secure. Some information may also be retained to meet a legal obligation. When a use requires your consent, it must be requested specifically.
The agreement requested in the forms concerns using your information to respond to your request. It does not authorise advertising messages. Form data is neither sold nor used for advertising campaigns.
4. Who can access your data?
Access is restricted to people authorised to handle your request and to technical providers whose involvement is necessary to operate the service: hosting, storage and, where applicable, messaging. Submitted documents are not published on the website and do not have a public download link.
The website’s frontend is hosted on Vercel. This does not mean that all documents and data relating to your request are stored with the same provider. Providers’ infrastructure may be located in more than one country. Any data transfers remain subject to applicable protection requirements. Contact us for details about how your request is processed.
Information may be disclosed to an authority when required by law or when necessary to establish, exercise or defend a legal right. The website’s forms do not involve sharing data for third-party advertising.
Contact messages and quote requests, including any attached document, may be delivered to contact@adxsoft.com through our professional Hostinger email service so we can respond to you. Depending on how a request is received, its information is kept in our professional mailbox or our request-management system. It is not used to send advertising.
5. How long do we retain your data?
Contact details, messages and documents are retained while your request is processed and for the exchanges needed to follow it up. Requests are scheduled for a manual review starting twelve months after submission: inactive files that no longer need to be retained may be deleted.
If work is commissioned, a file remains active or a legal obligation justifies longer retention, the necessary information may be kept for that purpose. The period then depends on the service’s follow-up, the relevant obligation or the resolution of a dispute. Technical data is retained according to the operational and security needs of the infrastructure concerned.
You can request deletion of your information before this review. We assess each request in light of your rights and any retention obligations; deletion is not presented as automatic in every situation.
6. How do we protect your information?
The website uses HTTPS. Requests are validated on the server and documents are saved in private storage. Access restrictions, file-size limits and measures against abusive submissions help protect the information received.
No transmission over the Internet or storage system can be guaranteed to be risk-free. If you notice an incident or think you have shared sensitive information by mistake, email privacy@adxsoft.com so we can assess the situation.
7. Cookies and external services
The website currently loads no advertising or audience analytics tools. Information entered in forms is not saved in your browser’s local storage. To learn more, see our Cookies page.
If you open an external link or continue an exchange through a third-party service, that service applies its own privacy policy. Adding processing that requires your consent must be accompanied by appropriate information and a choice.
8. What are your rights?
Depending on the rules applicable to you, you may have rights to access, correct or delete your data, restrict its processing, object to processing and receive your data in a portable format. When processing is based on your consent, you can withdraw it; withdrawal does not affect the lawfulness of processing already carried out. You can also lodge a complaint with the competent data protection authority.
To exercise your rights, email privacy@adxsoft.com and describe your request. If you know it, include your request reference and the email address you used to submit it. We may ask for the details strictly necessary to identify you and handle your request, and will respond within the time limits set by the applicable rules.
9. Information concerning minors
If you are a minor, ask your legal representative to assist you with a request involving a project or service. A parent or legal representative can contact us if they believe information about a child has been shared inappropriately; we will review the request and any action needed.
10. Changes to this policy
This policy may change to reflect changes to the website, services or applicable rules. The current version is published on this page with its update date. Any change requiring specific notice or new consent will be handled accordingly.
